Timekeeping Completed but Workdays Are Not Showing or the Limit Has Not Increased: Causes and Solutions

Short answer: After timekeeping, Người lao động should distinguish between three steps: the action has been recorded, the record has appeared in the system, and the workday has been approved. Only completed and approved work can be included in the calculation of the amount that can be received through Lương Ngày. Therefore, completing timekeeping without seeing an increased limit does not necessarily mean that the workday has been lost.

If the data is not showing, check the correct workplace, date, and shift; determine whether the work time comes from the app or the customer's timesheet; wait for the appropriate synchronization cycle; check the approval status; and then send evidence to the correct contact point. Do not create multiple records to "make up" for the missing workday, as this may create duplicate data and make reconciliation more difficult.

Do not use the single statement "the app does not show my work time" for every situation. The more accurately the status is described, the easier it is for the support team to identify the bottleneck.

If even one link in the process has not been completed, Người lao động may not yet see the limit increase. Therefore, check the process from left to right rather than looking only at the final amount.

Where does Lương Ngày get timekeeping data from?

The system has three verified groups of data sources. Each source has a different update speed and processing method.

1. Direct timekeeping in the Lương Ngày app

The app supports selfie + GPS, geofence, dynamic QR, Bluetooth beacon, WiFi, and Vào/Ra buttons. A record is created in real time when the action is valid.

"Real time" means that the data is recorded immediately. It does not mean that the work time is automatically approved immediately. The record must still go through the approval process.

2. Customer timesheet via Google Sheet

Customers can enter or export timesheet data to Google Sheet for the system to retrieve. The verified synchronization schedule is approximately every 30 minutes; supervisors have a button for immediate synchronization.

If the customer has just updated the sheet, Người lao động may not see the change until the next synchronization. The 30-minute interval is the current technical schedule, not a guarantee that every record will appear within a maximum of 30 minutes—the data must also be valid and match the configured structure.

3. Personnel data from ERP Nhân Kiệt

ERP provides information about Người lao động, customers, employment start/end dates, and management relationships. The verified synchronization schedule is 03:00 daily.

ERP is not simply a "timesheet." If a worker's profile has not yet been synchronized into the system, has not been linked to the correct customer, or has an incorrect employment status, the work-time record may not be linked to the account currently logged in.

What are the important data-linking keys?

The system does not identify people by name alone because multiple people may have the same name or names may be written differently. Two important verified key groups are:

  • CCCD: identifies Người lao động and is used for login and matching the profile, payslip, and timesheet;

  • Customer timekeeping code: connects Người lao động with the work-time row belonging to the correct workplace.

Customers are identified by company_id/customer code according to ERP. When a person works for multiple customers, work time must be correctly linked to each workplace and should not be arbitrarily combined.

Distinguishing timekeeping statuses on Lương Ngày")

1. The action was not successfully submitted

A weak network connection, closing the app too early, or disabled device permissions may mean that the user tapped the button but the server did not receive the record.

Solution: Open the timekeeping history first. If there is no record and the app previously confirmed that the action failed, perform the action once again using the correct method.

2. The wrong customer or workplace was selected

Người lao động who work at multiple locations may accidentally record time under the wrong customer. The record will then not appear on the screen being viewed or will not match the shift that needs to be calculated.

Solution: Check the customer name, location, timekeeping code, and shift for each record.

3. The wrong configured timekeeping method was used

Each customer selects the method suitable for the workplace. A Vào/Ra action does not automatically replace QR scanning if the workplace uses QR.

Solution: Confirm the instructions at the workplace and see Article 32 for the six timekeeping methods.

4. Timekeeping was performed outside the shift window

QR and shift rules may restrict the available time window. Night shifts that cross midnight must also be assigned to the correct business date rather than simply using the date shown on the clock.

Solution: Record the actual time, shift name, and a screenshot or photo of the notification; contact the supervisor if the shift schedule in the system is incorrect.

5. The record is waiting for synchronization from Google Sheet

The customer has entered the work time, but the system has not yet reached the next cycle for reading the new data.

Solution: Check the latest update time; wait for the appropriate cycle or ask the supervisor to use the immediate synchronization function when necessary.

6. The timesheet does not follow the configured data format

The system supports various formats such as symbol grids, daily hour grids, night shifts, US-style dates, and 12-hour time formats. However, the data must still match the parser configured for the customer.

A changed column name, newly merged cells, unfamiliar symbols, or a changed date format may cause some data to go unrecognized.

Solution: If multiple people are missing work time after the Sheet template was changed, the customer or technical team should check the table structure; do not ask each person to record their time again.

7. The timekeeping code does not match

The work-time row may exist but contain a different code from the one linked to the Người lao động profile.

Solution: Compare the code in the customer's timesheet with the code in the NK profile. Changes must be made at the correct source by the responsible person; changing only the displayed name is not sufficient.

8. The ERP profile has not been synchronized or is linked to the wrong customer

New workers, workers who have recently transferred to another workplace, or workers returning to work may not yet have been synchronized with the correct status.

Solution: HR Nhân Kiệt should check the CCCD, employment start date, customer, active status, and latest ERP synchronization time.

9. The record exists but has not been approved

Timekeeping provides the input evidence; the Nhân Kiệt supervisor or customer is responsible for confirming that the work time is valid. The party with valid approval authority completes the approval step.

Solution: Check the status and send the request to the correct approver. Do not ask the payment department to "add to the limit" while the work time is still pending approval.

10. The record was rejected

Possible reasons include incorrect location, incorrect shift, missing Vào/Ra timestamps, an inadequate image, or data that does not match the actual circumstances.

Solution: Request the reason for rejection, provide additional evidence, and follow the correction procedure. Do not create multiple new records to hide the old one.

11. Approved work time was edited and returned to pending approval

The system has a control mechanism: when the clock-in time, clock-out time, or shift of an approved record is edited, its status is automatically changed back to pending approval and the before/after changes are logged.

Solution: Check who made the change, what was changed, and request approval again. This is a mechanism to prevent silent changes, not a loss of work time.

12. You are viewing today's date or a future date

Lương Ngày blocks today when the day has not yet been finalized and blocks future dates to prevent users from receiving money for work that has not actually been completed.

Solution: Distinguish between an ongoing timekeeping record and a finalized workday. Wait for the shift/day to be completed and go through the approval process.

13. Approved work time is subject to a reserved held amount

Customers may configure the system to hold the most recent N workdays and/or 10.5% when the advance amount reaches a threshold. The held portion is still Người lao động's earnings and is processed during the payroll period, but it is not yet available for early receipt.

Solution: Check the details of the work time, amount already received, and held amount. Do not call the held amount a fee.

14. The newly generated amount has not reached the minimum

The default minimum per transaction is 50,000 đồng. A small amount of work time may already have been calculated, but the total available amount may still be below the threshold required to create a transaction.

Solution: Check the detailed amount instead of looking only at the receive-money button. Configured thresholds should be confirmed by NK when they are announced.

15. Người lao động has already received the available amount for the period

The calculation deducts the amount already received during the period. When additional work time is approved, the limit increases only by the new amount after deducting the held amount; it does not return to the original total earnings.

Solution: Reconcile the transaction history, approved workdays, daily rate, and held amount.

5-minute self-check process

What to do when timekeeping is completed but the workday is not showing")

Step 1: Check whether the record exists

Open the timekeeping history and select the correct customer, date, and shift. If a record already exists, do not record again.

Step 2: Identify the data source

Confirm whether the workplace uses the Lương Ngày app, the customer's Google Sheet, or another synchronized system. This determines whether you need to wait for an update cycle.

Step 3: Read the status

  • No record: Check the action, source, code, and synchronization;

  • Pending approval: Contact the approver;

  • Rejected: Read the reason and provide additional evidence;

  • Approved: Move on to checking the limit calculation.

Step 4: Check whether the date is eligible

Confirm that it is not an unfinished current day or a future date. For night shifts, check the assigned business date.

Step 5: Open the amount details

Compare approved workdays, daily rate, amount already received during the period, and reserved held amount.

Step 6: Send the issue to the correct contact

Do not send every problem to the same department. Work-time data, personnel profiles, customer configuration, and payments have different owners.

  • Do not record time on behalf of others or use tools to falsify location.

  • Handle exceptions and provide reasons;

  • Check timekeeping codes and customer assignments;

  • Coordinate with customers when source data is incorrect.

  • Maintain timesheets and on-site configuration;

  • Approve or reject based on valid grounds;

What should the system display so Người lao động can understand the situation themselves?

A transparent work-time screen should show:

  • Data source;

  • Customer/workplace;

  • Date and shift;

  • Vào/Ra time or work-time symbol;

  • Status: recorded, pending approval, approved, or rejected;

  • The person/unit responsible for the next action;

  • Latest synchronization time;

  • Reason why the work time is not included in the limit;

  • Edit and approval history;

  • A request-for-check button with the record ID pre-filled.

Notifications should clearly state the next action. For example:

> Work time for 02/09 is awaiting customer confirmation. The record has been received by the system but has not yet generated an available amount. You do not need to record your time again. If the working-time information is incorrect, submit a correction request before the work time is approved.

Conclusion

"Timekeeping completed", "record created", "work time approved", and "available amount generated" are four different statuses. Understanding this chain allows Người lao động to identify the actual issue instead of assuming that the system has lost the work time simply because the limit has not increased.

Check the following in order: correct customer — correct source — correct synchronization cycle — correct timekeeping code — correct approval status — correct eligible date — correct limit calculation. If the issue remains, send the record ID and evidence to the correct contact point. A transparent process should make it possible to trace data from the original source to the approved workday and the final amount.

No. A success notification usually only confirms that the record has been received. The Nhân Kiệt supervisor or customer still needs to approve it.
